Staff
Someone in your own business — front desk, in-house driver, your own spa therapist.
External provider
A separate company or freelancer — a tour operator, a rental car company, an independent massage therapist.
This is a label, not a permission level. Staff and External providers can do exactly the same things in the Provider Portal — accept, start, complete, and message about requests. Choose whichever matches how you think about the person; it doesn’t unlock or restrict anything.
Invite someone

The invite is sent here. If the domain looks mistyped, you’ll be prompted to confirm before continuing.

What the provider sees
They receive an email titled “You’ve been invited to join” your organization, with a Set up your account button. Clicking it takes them to a page where they set a password (8+ characters, with an uppercase letter, lowercase letter, number, and special character) and activate their account. Once done, they log in and land in the Provider Portal — a separate, simpler view where they see only requests assigned to them.If the invite expires or gets lost
Open the provider’s row in Providers and choose Resend Invite. This sends a brand-new link with a fresh 7-day expiry — the old link stops working.There’s a 60-second cooldown between resends, so if you just sent one, wait a moment before sending another.
