# Invite a provider

> Bring your staff and external vendors onto Mosaqo so they can fulfill guest requests.

**Providers** are the people who actually deliver a service — your own staff, or an external vendor/company. Every guest request eventually needs a provider assigned to it, so this is one of the first things to set up alongside properties and services.

## Staff vs. External provider

<CardGroup cols={2}>
  <Card title="Staff">
    Someone in your own business — front desk, in-house driver, your own spa therapist.
  </Card>

  <Card title="External provider">
    A separate company or freelancer — a tour operator, a rental car company, an independent massage therapist.
  </Card>
</CardGroup>

<Note>
  This is a label, not a permission level. Staff and External providers can do exactly the same things in the Provider Portal — accept, start, complete, and message about requests. Choose whichever matches how you think about the person; it doesn't unlock or restrict anything.
</Note>

## Invite someone

<Steps>
  <Step title="Go to Providers → Add provider">
    From the dashboard sidebar.
  </Step>

  <Step title="Enter their email address">
    The invite is sent here. If the domain looks mistyped, you'll be prompted to confirm before continuing.
  </Step>

  <Step title="Enter their name or company name">
    e.g. "Alex Carter" or "Island Transport Co."
  </Step>

  <Step title="Add a phone number (optional)" />

  <Step title="Choose Staff or External provider" />

  <Step title="Click Send invite">
    They'll get an email with a link to set up their account. The link expires in **7 days**.
  </Step>
</Steps>

</Frame>

<Warning>
  Emails must be unique across all of Mosaqo, not just your organization. If you get "a user with this email already exists," that email is already tied to a different account somewhere on the platform.
</Warning>

## What the provider sees

They receive an email titled **"You've been invited to join"** your organization, with a **Set up your account** button. Clicking it takes them to a page where they set a password (8+ characters, with an uppercase letter, lowercase letter, number, and special character) and activate their account. Once done, they log in and land in the **Provider Portal** — a separate, simpler view where they see only requests assigned to them.

## If the invite expires or gets lost

Open the provider's row in **Providers** and choose **Resend Invite**. This sends a brand-new link with a fresh 7-day expiry — the old link stops working.

<Note>
  There's a 60-second cooldown between resends, so if you just sent one, wait a moment before sending another.

* [Assigning providers](/providers/assigning-providers) — link them to properties and services so they actually show up as assignable
